 Charity Support Services Executive – 37.5 hours a week

 

Job summary:

 

Reporting to the Charity Director, the Charity Support Services Executive will drive the implementation of complementary therapies for the charity, while supporting the charity with support services, administration and fundraising.
Line Manager: Charity Director
Location: This role is based at the charity office in the Worcestershire Breast Unit, Monday – Friday.  Some remote working may be required.
Hours: 9am – 5pm Monday to Friday with a half hour lunch break (some flexibility will be required with evenings and weekends)

Principal Responsibilities:

The job holder will be responsible for expanding the current complementary therapy support service, working very closely with the clinical Breast Unit Team, patients and qualified therapists within the Worcestershire County to ensure an effective and successful service. They will also implement bi-annual conferences for breast cancer patients at the end of their active treatment – a new area of support for the charity. 

They will provide professional, efficient and effective administration support to the WBUH team particularly around the Support Services offered to patients, while also lending their hand to general administration and our ever-growing calendar of events.  They will have the ability to work both independently and as part of the overall charity team.  They will need to work on their own initiative, often unsupervised, and to be flexible, adaptable, and able to prioritise workload. Principal responsibilities will include:

  • Working closely with the Breast Clinical Team to ensure the process of the complementary therapies works for all involved
  • Sourcing appropriate qualified, registered and insured local therapists within the county and building strong working relationships with them
  • Creating a thorough directory of Worcestershire therapists for breast cancer patients according to the therapies recommended during and after treatment
  • Creating a feedback process for patients and therapists
  • Collate/track/distribute/act on feedback from complementary therapies as appropriate
  • Promoting WBUH and the work the charity does
  • Organise bi yearly (to potentially be quarterly) conferences for around 200/250 people – to provide follow on information for breast patients (e.g menopause information/lymphoedema information etc) including organising a venue, sourcing speakers, organising agenda from start to finish and attending on the day to ensure smooth running
  • Help to organise and run the Support Services available for patients, working closely with the Support Services Manager to develop the range of services offered
  • General admin
  • General event support
  • Stand in where necessary for support events and meetings
  • Support the charity office in delivering effective administration
  • Act as a point of contact for patients & supporters, responding in a timely manner to queries via telephone and email
  • Support the fundraising activities of the charity as required
  • Develop a detailed understanding and knowledge of the work of the WBUH, acting as an ambassador for the charity when required
  • Assist with keeping CRM system up to date and working efficiently

 

The post holder will need to be able to:

  • Organise and prioritise workload effectively to ensure that work is completed within timescales
  • Work flexibly to provide office and events cover, as needed, including evenings and weekends as the role demands (agreed in advance and time off in lieu given)
  • Plan day to day working using initiative to prioritise workload/amend work planning as necessary to meet the demands of the charity
  • Communicate effectively with colleagues, medical professionals, patients, fundraisers and volunteers
  • Be the point of contact via the telephone for queries, using initiative and judgement on necessary action to be taken
  • Assist with the organisation of events
  • Attend WBUH team meetings
  • Work independently, understanding when to ask for assistance and support from the wider team

 

Knowledge:

Essential

  • Previous experience delivering a range of larger scale projects within a busy environment
  • Excellent administrative skills
  • Good general level of education, including a good standard of written English
  • Numerate and confident working with spreadsheets and Microsoft Office

 

Desirable

  • Previous experience implementing larger scale projects
  • Working knowledge of data protection regulations, legislation and patient confidentiality.

 

Work experience:

Essential

  • Experience of working to deadlines and prioritising workloads

 

Desirable

  • Work experience or volunteering in the third sector
  • Previous fundraising experience.

 

Skills:

Essential

  • Evidence of a caring nature with compassion and empathy
  • Excellent attention to detail is a must
  • Confidence working with people across a range of seniority and backgrounds
  • Ability to co-ordinate multiple tasks successfully
  • Excellent organisation, prioritisation and workload management
